Role Purpose: 

This role provides general administrative support to Kimberly-Clark’s Global Business Services Center in Pune, India, and direct administrative support to the Site Director.  The incumbent will ensure flawless execution of daily office and business operations through their support of meeting/event management, travel arrangement, and all other office administrative coordination.  

Role Accountabilities: 

  • Manage schedule, mail, expense reporting, and other administrative tasks on behalf of the Site Director 

  • Coordinate site communications in alignment with global, regional, and functional practice; manage use of group mailboxes and other communication vehicles 

  • Manage all aspects of travel arrangements (flights, visa applications, hotels, transport, individual travel support, etc.) for team members and international visitors 

  • Coordinate meetings of all sizes, including agendas, scheduling, equipment, refreshments, and other needs as identified by the meeting owner 

  • Supervise seating arrangements and manage workstation readiness for new hires 

  • Oversee and provide first-layer approval and charge assignments for all purchase requisitions 

  • Coordinate with buyers and procurement team to ensure unique purchasing requirements are completed in alignment with company policy 

  • Provide coordination and other administrative support for additional site activities as required, including new hire orientation, knowledge transfer/training, employee engagement, and functional initiatives  

                          

Qualifications: 

  • Diploma: Diploma holder in any discipline 

  • Proven Experience: 3-4 years relevant experience in administrative or support role with demonstrated ability to effectively support senior leaders in a fast-paced environment 

  • Communication: Strong verbal and written communication skills (English a must); ability to handle sensitive information with care  

  • Detail Orientation: Demonstrated ability to quickly produce high quality documents and other work products, including editing of presentations and other collateral  

  • Organizational Skills: Ability to plan, prioritize, manage, and execute multiple tasks simultaneously 

  • Interpersonal Skills: Ability to interact and build relationships with executives, staff, and other partners in order to effectively achieve goals 

  • Technical Proficiency: Strong knowledge of office software like Microsoft Office Suite; ability to quickly learn and utilize other administrative systems/platforms
