Job Responsibilities:
- Meeting Management: Facilitate/coordinate various management forums and follow-up with various stakeholders towards timely closure of action items. End to end responsibilities from protocol management to follow-up of action items from management office. Highlight areas of concern, risks which may hinder smooth operations of management meetings.
- Information Preparation: Preparing and formatting information for internal and external distribution. This may include writing letters and memos, compiling data for reports, creating presentations, writing reports, proofreading and other information preparation duties.
- Events & Visits Management: Planning and coordinating logistical arrangements and execution of events such as business strategy meetings and workshops involving Senior Management. This also includes coordination of the executive visits in conjunction with the Administration and Facility Teams.
- Communication Liaison: Manage the flow of information to members of the leadership team & other management forums. Summarize reports and memos that are received before passing the information on to the leadership team members.
- Calendar Management:
- Travel and Expense Management: Prepare and process expense reports and confidential correspondence. Organize complex travel plans, itineraries, and related documentation.
- Research and prioritize incoming issues, determining appropriate responses or referrals.
- Facilitate smooth communication between the executive office and internal departments.
- Keep the Senior Leadership informed of upcoming commitments and responsibilities.
- Lead and manage special projects with potential organizational impact.
- Draft acknowledgment letters, personal correspondence, and other executive communications.
Qualification, Experience, Skills & Competencies: - Bachelor's degree is the minimum qualification, a Master's degree is highly desirable and can offer a competitive advantage.
- 5 plus year relevant experience.
- Strong organizational and time management skills.
- Excellent written and verbal communication.
- High level of discretion and confidentiality.
- Proficiency in MS Office and calendar management tools.
- Ability to work independently and collaboratively.
- Strong interpersonal skills and professional demeanor.
