As an Executive Operations Partner, you will serve as the operational extension of a serial entrepreneur managing multiple businesses across technology consulting, AI, eCommerce, media, travel, and emerging technology ventures. You’ll work directly with leadership to streamline communication, coordinate priorities, support recruiting initiatives, optimize operational workflows, and leverage AI tools to drive efficiency across multiple organizations.

This role is ideal for someone who thrives in dynamic startup environments, enjoys creating structure from ambiguity, and is energized by solving problems independently. Rather than functioning as a traditional executive assistant, you’ll act as a trusted business partner who helps leadership operate at maximum effectiveness while driving execution across a wide range of strategic and operational initiatives.

Accountability

Your success as an Executive Operations Partner will be defined by your ability to increase executive capacity, reduce operational friction, and ensure priorities move forward efficiently across multiple businesses.

Here's how you'll make an impact: 

Executive Operations & Communication Management 
  • Manage and prioritize multiple executive inboxes across various businesses.
  • Draft, review, and respond to emails on behalf of the executive.
  • Monitor and manage communications across Slack and other collaboration platforms.
  • Triage incoming requests and escalate urgent matters appropriately.
  • Coordinate calendars, meetings, and scheduling across multiple organizations.
  • Act as a trusted representative when the executive is unavailable.
  • Protect executive focus time by reducing interruptions and managing competing priorities.
Project Management & Operational Coordination 
  • Coordinate initiatives across multiple companies, projects, and stakeholders.
  • Track project timelines, deliverables, and follow-up actions.
  • Maintain accountability across teams and business functions.
  • Build systems that improve visibility, execution, and organizational alignment.
  • Support ongoing strategic and operational initiatives.
  • Ensure commitments are followed through and priorities remain on track.
AI-Assisted Operations & Workflow Optimization 
  • Utilize AI tools such as Claude, Gemini, ChatGPT, and similar platforms as part of daily execution.
  • Continue and refine AI-assisted research and operational projects.
  • Leverage AI to improve productivity, communication, and workflow efficiency.
  • Build and optimize AI-enabled operational processes.
  • Validate AI outputs and maintain quality standards.
  • Support AI consulting initiatives and emerging operational projects.
Recruiting & Talent Support 
  • Assist with creating and refining job descriptions.
  • Manage candidate pipelines and recruitment workflows.
  • Coordinate interview scheduling and stakeholder communication.
  • Conduct initial candidate screening and evaluation activities.
  • Maintain recruiting documentation and operational processes.
  • Support talent acquisition efforts across multiple ventures.
Business Operations & Special Projects 
  • Maintain CRM data quality and operational systems.
  • Support administration and optimization of business tools and platforms.
  • Assist with financial documentation, receipt tracking, and administrative workflows.
  • Conduct market, vendor, competitor, and business research.
  • Support travel planning, conference preparation, and executive logistics.
  • Contribute to automation, process improvement, and operational scaling initiatives.
Colleagues

You’ll work closely with founders, business leaders, external partners, candidates, and cross-functional stakeholders across multiple companies and ventures, serving as a trusted partner responsible for driving execution and maintaining operational momentum.

Skills and Qualifications

As an Executive Operations Partner, your vertical focus will be on executive operations, project coordination, and stakeholder management, while your horizontal focus will include recruiting, AI-enabled workflows, operational systems, and business support. 

To excel in this role, you should have:

  • Experience: 5+ years of experience supporting founders, executives, entrepreneurs, or senior leaders in startup, consulting, or fast-paced business environments.
  • Executive Operations: Proven ability to manage multiple priorities, coordinate stakeholders, and operate effectively as an extension of executive leadership.
  • AI Fluency: Active experience using AI tools such as Claude, ChatGPT, Gemini, or similar platforms to improve productivity, research, communication, and operational execution.
  • Project Management: Strong experience coordinating projects across multiple stakeholders while maintaining accountability and execution momentum.
  • Communication Skills: Exceptional written and verbal English communication skills, with the ability to communicate professionally on behalf of executives and business leaders.
  • Problem Solving: Strong critical thinking skills and the ability to create structure within ambiguous, rapidly changing environments.
  • Ownership & Initiative: A proactive mindset with the ability to independently prioritize, execute, and solve problems without requiring constant direction.
  • Organization & Attention to Detail: Excellent organizational skills, follow-through, and the ability to manage multiple concurrent workstreams effectively.

Role Specifications

This is a remote role, where you will be expected to work a split shift with some overlap with our client’s time zone. You will, however, be expected to be present for in-person training programs during your first 3.5 weeks with us.
