As the Front Desk Executive, you will be the first point of contact for visitors, clients, and employees. You will play a key role in setting the tone for a warm, welcoming, and highly professional office environment. Your responsibilities will include managing front desk operations, coordinating communication, supporting administrative tasks, and maintaining a neat and organized reception area. This role requires a courteous, polished individual with strong interpersonal and multitasking skills, as well as a commitment to delivering exceptional service.
Your Core Responsibilities:
Reception & Visitor Management:
- Greet all visitors, clients, and staff with warmth and professionalism
- Answer, screen, and route incoming phone calls efficiently and courteously
- Maintain a clean, organized, and presentable reception area at all times
- Manage visitor check-in procedures, issue badges, and coordinate access cards
- Assist with visitor queries and guide them to the appropriate departments or contacts
- Maintain a log of walk-ins, deliveries, and guest information to ensure protocol adherence
Administrative & Office Support:
- Schedule appointments, meetings, and manage conference/board room bookings
- Provide administrative support including data entry, filing, scanning, and photocopying
- Draft internal communications and assist in preparing reports, documents, or presentations
- Track and verify office-related invoices and ensure timely processing
Facilities & Office Maintenance:
- Verify delivery notes against received stock and maintain related documentation
- Maintain and organize mail handling, courier records, and inward/outward registers
- Manage and log the key box and key register
- Monitor attendance of housekeeping, pantry, and security personnel
- Coordinate with the line manager for periodic facility maintenance tasks
Communication & Customer Service:
- Deliver high-quality service to all visitors, clients, and team members
- Communicate clearly and effectively both in-person and over the phone
Security & Protocol:
- Adhere to all safety and security protocols for front desk operations
- Ensure access control procedures are followed for all visitors and staff
- Maintain detailed records of issued and returned access cards

Your Skills and Experience:
- Graduate in any discipline
- 2-5 years of experience in a front office, hospitality, or corporate customer service role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong time management and organizational skills
- Fluent in English; additional languages are a plus
- Experience with reception systems, visitor management tools, or phone consoles is an advantage
