POSITION PURPOSE

The Membership Coordinator supports the final steps of YPO’s member recruitment process by coordinating and scheduling prospective YPO member interviews with current YPO members. The Membership Coordinator professionally communicates and liaises between all parties to coordinate a common time for interviews, creates calendar invitations and video conferences, and attends interviews to ensure properly functioning technology and overall facilitation. The Membership Coordinator will support stakeholders in a Region that covers multiple time zones thus requiring flexible and occasional extended hours.

PRIMARY RESPONSIBILITIES

  • Liaise with YPO member volunteers and prospective YPO members to understand time zones and availability to facilitate optimal interview scheduling.

  • Professionally communicate with interview participants via various channels.

  • Create calendar invitations and Zoom video conference links that clearly communicate call details and ensure a positive experience for attendees.

  • Attend interviews as a facilitator/host to ensure that technology is functioning properly and to step in and problem- solve if issues arise.

  • Navigate various international time zones and cultures with a global mindset.

  • Utilize Salesforce CRM for tracking and documentation.

  • Field questions and scheduling requests with a customer service and hospitality mindset.  

  • Approach complex time zones and busy schedules with a positive attitude and creativity to find solutions.

  • Prioritize and proactively manage tasks and anticipate the needs of all participants.

  • Recommend and document process improvements and automation as this new program takes shape.

SKILLS

  • Proven ability to work independently with initiative, to be resourceful and self-motivated and proactively manage multiple tasks and projects simultaneously.

  • Exceptionally strong administrative, and organizational skills; commitment to detail, methodology and accuracy; effective time management and prioritization skills.

  • Excellent communication skills with an emphasis on proactivity, clarity, thoroughness, and diligence.

  • Proven characteristics of intellectual curiosity, responsibility, determination, creativity, flexibility, drive, and self-confidence.

  • Ability to maintain discretion and integrity of confidential and sensitive information.

  • Ability to identify problems, research alternatives, provide solutions and/or resolve issues in a timely manner. Anticipates customer needs and delivers with clarity.

  • Proficiency in Salesforce and Microsoft Office. Keen desire to learn and apply new technologies and tools.

EXPERIENCE/BACKGROUND

  • 2+ years of administrative experience is required.

  • Experience interfacing with C-level executives is required.

  • Experience scheduling meetings in various international time zones is required.

  • Strong knowledge and experience with MS Outlook Calendar and Zoom video conference is required.

  • Strong English fluency and communication skills (written and verbal) is required.

  • Salesforce or similar CRM experience is highly preferred.

  • Customer service or stakeholder relationship management experience is required.

  • Ability to attend video conference calls and flex to international time zones is required.

EDUCATION/TRAINING/CERTIFICATION

  • Bachelor’s Degree or equivalent work experience.

PHYSICAL REQUIREMENTS

  • Ability to work flexible and/or extended hours as needed to accommodate members and team members in multiple time zones.

  • Ability to work for extended hours at a computer screen.
