ABOUT THE ROLE

Circles.Life is looking for a PMOs Senior Associate who possesses superior organisation and planning skills, energy, drive and attention to details. The ideal candidate can efficiently accomplish key tasks and company initiatives. He/she is a team player with a forward thinking mindset, ability and confidence to challenge the status quo to define future visions.

You will be given a unique opportunity to work on high impact projects and interact directly with senior product leaders.

This role will be a 6 months contract position and report to the Regional PMO lead and as a key member of our team.


WHAT YOU’LL BE DOING

People program / People Engagement

Engagement - 

  • Create, Lead and own people  programs to support a great culture should provide continuous alignment to the vision, purpose, and goals of the organization

Workforce - 

  • Ensure team’s success through managing newbie onboarding and internship programs
  • Create Lead and own, self/group learning sessions, team bonding activities, and externally through workshops and events.

Events and Workshops - 

  • Organize and coordinate team events across various countries, and provide a full-range of support activities to leadership team
  • To drive team building activities to promote engagement and build work morale among team members

Administrative

Finance -

  • Creation of POs and Maintain systems for recording costs, timesheets, purchases, and expense
  • Ensuring all information and documentation is processed, maintained, monitored, and filed.

Meetings & Reporting - 

  • Support and manage meetings of various teams, including booking of meeting rooms and taking minutes of meeting.
  • Providing a comprehensive administrative service including assisting in setting up workshops, meetings, taking minutes, chasing actions, arranging travel, arranging quotations and purchases, and managing adhoc queries.
  • Co-ordinate the collation of reports and produce summary weekly and monthly reports.
  • Support, monitor and progress action items for leadership team
  • Involvement in ad-hoc projects and Private and Confidential assignments if required

Operations

  • Maintaining project management tools and support on templates, tools, software
  • Resource management (i.e. training, budgeting)
  • Be on top of critical project deliverables and other documentation to ensure progress transparency to all stakeholders


WHO YOU ARE

  • Minimum 7 years experience working as PMO, Project manager.
  • Experience in PMO and/or Project Management in the COO/People & Culture/Events
  • Outstanding communication both oral and written and effective stakeholder management as this role’s day to day job is to communicate with various stakeholders
  • Energetic, highly organized, good attention to detail, assertive with good negotiation and problem-solving skills to deal in situations whereby groups may not agree on every point, and to intervene and escalate when necessary
  • Pro-active who is persistent in his/her approach. The candidate should also be self-motivated and have a high level of independence.
  • Have knowledge of Project and Program status tracking and reporting
  • Have knowledge of project financials management and reporting
  • Have experience in running workshops and events
  • Strong team player; able to work in an environment with high inter-dependencies between teams and cross-cultural colleagues
  • Excellent communication and negotiation skills
  • Strong organisation skills and attention to detail
  • Proficient with Google Suites
