We are looking to grow our Global Procurement department by welcoming a new Procurement Coordinator: Data & Intake. This role will serve as the first point of contact for all procurement requests and supplier onboarding needs, ensuring data accuracy and efficient workflow management. You'll be the critical link between stakeholders and our Procurement team, managing the intake process and maintaining data integrity across our procurement systems.
We are looking to speak to candidates who are based in Gurugram for our hybrid working model.
Shift Timings: 2 PM to 10 PM (Cab will be provided)
Key Responsibilities- Initial Request Management: Serve as the primary contact for all incoming procurement requisitions and supplier onboarding requests from stakeholders across the organization
- Data Entry & System Management: Accurately input and maintain procurement data in Coupa and other procurement systems, ensuring completeness and compliance with company standards
- Quality Control & Error Resolution: Review incoming requests for accuracy, identify and correct errors related to departments, entities, currencies, and other critical data points before processing
- Intake Process Optimization: Manage and streamline the procurement intake workflow, ensuring all requests contain necessary information and documentation
- Ticket Management: Create and manage Zendesk tickets for validated requests, enabling Procurement Managers to efficiently assign and track work
- Stakeholder Communication: Proactively communicate with requestors to clarify requirements, obtain missing information, and provide status updates on their submissions
- Cross-functional Support: Collaborate with Procurement Managers, AP teams, and global stakeholders to support seamless procurement operations
- Ensure that all deals under Purchasing Coordinator’s purview have been executed per company purchasing policy. Such tactical deals will span Marketing, Events, IT areas, HR, Software, etc. Process routine renewals
- Bachelor's Degree or equivalent preferred
- 2+ years of experience in data entry, operations, or procurement support roles
- Strong attention to detail and data accuracy
- Experience with procurement systems (Coupa experience preferred) and ticketing systems (Zendesk or Jira experience a plus)
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Ability to identify and resolve data discrepancies and process inefficiencies
- Customer service mindset with ability to work with stakeholders at all levels
- Proficiency in Excel and other data management tools
