The Contingent Workforce Specialist will provide day-to-day operational support for the Contingent Workforce Program in India, working under the guidance of the Contingent Workforce Program Lead. The role focuses on smooth onboarding, offboarding, accurate data management in Workday and the VMS and responsive support to all stakeholders.
What you’ll be doing:
Support end-to-end contingent worker lifecycle activities (requisitions, onboarding, extensions, offboarding) in alignment with program policies.
Ensure accurate data entry, correct worker classifications, and timely updates.
Coordinate with hiring managers and suppliers to collect required onboarding information and documentation for new contractors and following India and regional compliance requirements.
Prepare, send, and track contractual and onboarding documents (including e-signatures via tools such as DocuSign), ensuring they are fully executed before start dates.
Create and manage contingent worker records in Workday and VMS; process transactions such as start, extension, transfer, and termination under standard operating procedures.
Monitor onboarding and offboarding checklists, follow up with stakeholders, and escalate delays or issues as needed.
Respond to inquiries from hiring managers, suppliers, and contractors via email and collaboration tools, providing high-quality, timely support and clear guidance.
Assist the Program Lead in implementing process improvements, documenting procedures, and adopting best practices for managing a contingent workforce in India.
What we need to see:
Bachelor’s degree in business, HR, or a related field, or equivalent experience.
2–4+ years of experience in HR operations, staffing coordination, vendor management, or contingent workforce administration in a fast-paced environment.
Basic to intermediate understanding of contingent workforce concepts (e.g., contractor vs. employee, temp/consultant/freelancer) and an interest in deepening expertise.
Hands-on experience with HR or workforce systems; exposure to Workday, VMS (such as Beeline) and ticketing tools (e.g., ServiceNow) is an advantage.
Strong skills in MS Excel and comfort working with reports and dashboards.
Excellent attention to detail and data accuracy, with the ability to follow structured processes and checklists.
Good written and verbal communication skills, including the ability to communicate clearly with managers, vendors, and contractors.
Strong organizational and time-management skills; able to handle multiple requests and deadlines with guidance from the Program Lead.
Collaborative, service-oriented mindset, with a willingness to learn, take feedback, and build expertise in contingent workforce management.
Ways to stand out from the crowd:
Prior experience supporting contractor or employee onboarding, HR operations, or staffing environment.
Familiarity with procurement or basic contract and PO processes in a corporate setting.
Exposure to global or regional teams.
Interest in process documentation, continuous improvement, and using data to identify operational issues or efficiency opportunities.
Experience with VMS tools (Beeline preferred), Workday, Coupa, and Docusign is a plus as well as Level 1 and 2 Beeline Certification
