Manages the end-to-end outbound marketing operation, including prospecting, CRM administration, email and LinkedIn campaigns, lead reply handling, deliverability, data enrichment, reporting, and sales handoffs. The role also maintains campaign infrastructure, sender health, workflows, dashboards, SOPs, and GTM tool accounts while troubleshooting performance and compliance issues.
Role Summary
This role runs the full outbound operation for a go-to-market team, from building prospect lists to handing qualified leads to sales. The person in this seat owns campaign setup and execution across email and LinkedIn, CRM data integrity, email infrastructure and account health, lead reply management, and weekly reporting.
This is a hands-on, builder-style role suited for someone who thrives in a fast-moving, early-stage environment where processes are still being built. The role reports to the Head of GTM and Revenue Strategy, who sets strategy, while this person owns execution, troubleshooting, and day-to-day operation of the outbound engine.
Key Responsibilities
- Monitor and manage replies across all outbound channels daily; classify by intent and route next steps
- Respond to warm leads using approved templates and book demos; hand qualified leads to sales with full context
- Run follow-up/re-engagement on stalled leads and process opt-outs promptly
- Keep CRM accurate and current: import/update contacts, companies, activities, notes, stages, deals, ownership
- Build and maintain CRM workflows, automations, and integrations with outbound tools; run data hygiene
- Build, launch, and manage multi-step email and LinkedIn campaigns end to end, including sequences, schedules, sending limits, and sender assignment
- Set up and run nurture and re-engagement flows; apply deliverability best practices; coordinate lists/senders to avoid overlap
- Pause, fix, and relaunch campaigns based on performance and health checks
- QA all sequences, templates, and replies against approved copy before launch (personalization, links, subject lines, signatures, compliance footers)
- Maintain consistent sender identities across mailboxes and LinkedIn profiles; spot-check live sends
- Manage sending domains, mailboxes, DNS authentication, and warm-up; monitor bounces, spam complaints, blocklists, inbox placement, and domain reputation
- Scale sending volume based on account health; keep LinkedIn sender accounts healthy and within platform limits; work with vendors to resolve issues
- Build targeted prospect lists using scraping, hiring-signal, and data tools; deduplicate, clean, and apply suppression
- Enrich contacts with verified emails/phone numbers across multiple sources; prepare calling lists for sales; manage data credits
- Deliver weekly performance reporting by channel and funnel stage; build/maintain CRM dashboards; distinguish genuine engagement from automated responses
- Maintain a live tracker of all running campaigns
- Administer accounts, seats, subscriptions, and credits across the GTM tool stack
- Document recurring processes as SOPs; keep naming conventions consistent; support sales with clean data, lead context, and CRM fixes
Qualifications
- 5+ years in marketing operations supporting a B2B outbound or demand generation team
- Proven experience running multi-channel outbound across email and LinkedIn
- Strong CRM administration skills
- Experience managing lead replies and handoffs to sales
- Working knowledge of email deliverability: SPF, DKIM, DMARC, warm-up, bounce management
- Experience with list building and data enrichment
- Advanced spreadsheet skills
- Sharp attention to detail and clear written English
- Background in US healthcare or staffing outbound (preferred)
- Awareness of CAN-SPAM and TCPA basics for US outreach (preferred)
