What you’ll get to do:

Based in the Pune office, but also looking after the day-to-day operations in all of our APAC regions, to include but not limited to Sydney, Singapore and Tokyo 

Facility Coordination

  • Responsible for maintenance and presentation of the office environment with exceptional attention to detail that matches the very highest standards of a corporate office environment regionally, including conference rooms and kitchens
  • Ensure compliance with health and safety regulations
  • Actively maintain all requests via the Zendesk ticketing system
  • Service new hires and terminations
  • Assist with creating/maintaining guidelines and procedures to improve efficiencies for security, facilities, mailroom and internal event operations
  • Assist with internal/external events
  • Minor assembly, troubleshooting of facility-related equipment
  • Demonstrate creative thinking and problem-solving
  • Foster/create/maintain office culture through amenities program, ERG support, and company celebrations
  • Excellent customer service skills

Construction / Renovation

  • Manage small renovations, including budget creation and management
  • Work with specified vendors to develop the scope of work
  • Provide move management, coordination and communications
  • Source any vendors necessary to complete small internal projects

Real Estate/Space Management

  • Proactively track and manage building requests and issues
  • Assist with security, corporate disaster recovery, business continuity planning and execution as it relates to the locations you support
  • Assist with space planning and utilization of corporate offices regionally, including working with corporate and business units to understand growth and attrition rates, manage restacks and evaluate department requirements

Financial Responsibilities

  • Approve and track recurring costs
  • Track and manage an approved operating budget while still providing the best quality service
  • Experience managing a corporate charge and/or purchase card program
  • Facility-related general purchasing

You should apply if you have most of this experience: 

  • Certifications or Continued Studies specifically in Facility Management are a plus
  • At least 3+ years of project, property, and facility experience
  • Experience with vendor management, furniture reconfigurations, and safety and security procedures
  • Ability to effectively multi-task, seamlessly combining both delegation to personnel and direct line-item contribution to detailed projects
  • Must have strong decision-making skills and meet aggressive deadlines and advance processes with very little supervision
  • Must have exceptional customer service and instil these qualities into existing staff.
  • Must have a proven track record dealing with Health & Safety, certification or qualifications would be advantageous (Fire Safety, First Aid, etc)
  • Ability to self-generate necessary documents and reports, analyse spreadsheets and succinct but comprehensive summary and recommendation emails and papers
  • Demonstrate our culture of service excellence
  • Outstanding organisational and follow-through skills. Meticulous attention to detail is a must.
  • Experience working either alongside or within other APAC regions, such as Sydney, Singapore or Tokyo would be advantageous
