The Workday Benefits & Absence Architect plays a critical role in designing, configuring, and maintaining scalable, compliant, and efficient Workday ecosystems for benefits and absence management. This position ensures seamless integration across HCM, Payroll, and external vendor systems while supporting organizational growth and compliance with federal, state, and regulatory standards. The architect leads complex configuration efforts, drives system enhancements, and partners with cross-functional teams to deliver robust solutions that support a dynamic workforce. With a focus on innovation, process optimization, and user adoption, this role is essential to maintaining a high-performing, future-ready benefits and absence platform.
Responsibilities
- Own the end-to-end architecture and configuration of Workday Benefits and Absence modules, ensuring scalability and alignment with business growth.
- Design and maintain sophisticated eligibility rules for benefit groups, benefit plans, leave plans, and time-off plans across the organization and acquired entities.
- Develop and configure absence plans in compliance with federal, state, and local regulations, including FMLA and other state-specific leave programs.
- Configure a wide range of benefit plans, including medical, dental, vision, HSA, FSA, life and disability insurance, and 401(k) plans.
- Support compliance reporting for ACA, COBRA, FMLA, and other regulatory requirements.
- Collaborate with developers and benefit vendors to implement, maintain, and troubleshoot integrations impacting benefits and absence systems.
- Partner with payroll teams to validate downstream impacts and ensure accurate payroll processing.
- Lead regression testing for Benefits and Absence modules following Workday system updates and releases.
- Build and maintain custom reports—including standard, advanced, composite, and matrix reports—for analytics and operational insights.
- Support tenant maintenance, system enhancements, and troubleshooting within the Benefits and Absence functional areas, including cross-functional support as needed.
- Assist the HCM Manager in developing change management strategies and user guides to drive adoption and system proficiency.
- Test and evaluate emerging AI-driven features such as Workday’s Employee Self Service agent and contribute to innovation initiatives.
Requirements
- 4-8 years of hands-on Workday Benefits & Absence configuration and implementation experience.
- Deep understanding of the interdependencies between Benefits, Absence, HCM, and Payroll modules.
- Proven experience with compliance frameworks including FMLA and state-specific leave programs.
- Strong analytical and problem-solving skills with a focus on process efficiency and system reliability.
- Experience in integration design and support with third-party vendors and internal development teams.
- Familiarity with regulatory reporting requirements such as ACA, COBRA, and IRS guidelines.
- Ability to lead testing, documentation, and change management activities across complex projects.
- Excellent communication and collaboration skills with stakeholders across HR, IT, Payroll, and Finance.
